Team Management

Add team members and validators to help manage your events.

Overview

Delvent supports team collaboration with different access levels:

RoleCapabilities
OwnerFull access to organisation and team management
AdminFull access to manage events and team
MemberCan review proposals and manage schedule

Validators are managed separately for event check-in access.

Team Members

Accessing Team Members

  1. Go to Dashboard → Settings
  2. Select your Host Profile
  3. View the Team Members section

Inviting Team Members

  1. Click Invite Member
  2. Enter their email address
  3. Select their role:
    • Admin - Full access to manage events and team
    • Member - Can review proposals and manage schedule
  4. Click Send Invitation

Invitations expire after 7 days. You can resend if needed.

Invitation Process

  1. Email Sent - Invitee receives an email with invite link
  2. Accept Invite - They click the link and sign in or sign up
  3. Join Team - They're added to your organiser profile
  4. Ready - They can now access based on their role

Pending Invitations

Pending members show a yellow "Pending" badge. You can:

  • Resend Invite - Send the invitation email again
  • Remove - Cancel the invitation

Managing Members

Change Role

Use the role dropdown next to the member to change between Admin and Member.

Remove Member

  1. Click the menu icon (three dots) on the member row
  2. Click Remove
  3. Confirm removal
Cannot Remove Owner

The organisation owner cannot be removed or have their role changed.

Role Permissions

Owner

Full control over the organiser profile:

  • All Admin permissions
  • Manage team members
  • Organisation settings

Admin

Full event management:

  • Create and edit events
  • Manage tickets and pricing
  • View all attendees
  • Access analytics
  • Send messages
  • Invite team members
  • Configure payment settings

Member

Limited access:

  • Review proposals
  • Manage schedule
  • View events and attendees

Validators

Validators are separate from team members and are specifically for event check-in.

What are Validators?

Validators can:

  • Access Entry Validation
  • Scan QR codes
  • Perform manual check-in
  • View check-in statistics

Validators cannot:

  • Edit event details
  • View revenue or financial data
  • Send messages
  • Access other management features

Accessing Validators

  1. Go to Dashboard → Settings
  2. Click the Validators tab
  3. Select your Host Profile from the dropdown

Adding Validators

  1. Click Create New Validator
  2. Enter one or more email addresses
  3. Choose assignment:
    • All Events - Validator can check in at all your events
    • Specific Event - Select which event they can access
  4. Click Invite

Validators receive an email invitation with instructions.

Managing Validators

Each validator card shows:

  • Email address
  • Status (Active, Disabled, or Pending)
  • Assigned event

Click a validator card to expand and:

  • Change Event Assignment - Switch between All Events or a specific event
  • Enable/Disable - Temporarily disable a validator's access
  • Delete - Permanently remove the validator

Best Practices

Role Assignment

  • Give minimum necessary permissions
  • Add validators separately for check-in staff
  • Reserve Admin for trusted team members

Security

  • Remove team members and validators when they leave
  • Regularly audit team access
  • Don't share login credentials

Event Day

  • Add validators before the event
  • Test validator access works
  • Have backup check-in method ready

Multiple Host Profiles

Team members can belong to multiple host profiles:

  • Different roles in different profiles
  • Independent access per profile
  • Switch between profiles in Settings

Troubleshooting

Invitation Not Received

  • Check spam/junk folder
  • Verify email address is correct
  • Resend invitation from Settings
  • Try a different email address

Can't Access Event

  • Verify role permissions (Admin vs Member)
  • Check host profile assignment
  • Contact the profile owner

Validator Can't Check In

  • Ensure validator status is Active (not Disabled)
  • Verify event access (All Events or specific event)
  • Check internet connection
  • Try manual check-in method
