Messaging Attendees

Communicate with your event attendees through direct messaging.

Overview

Send emails to your attendees for:

  • Event updates and announcements
  • Schedule changes
  • Venue information
  • Last-minute reminders
  • Post-event follow-ups

Accessing Messages

  1. Go to Dashboard → Events
  2. Select your event
  3. Click Manage → Messages

Sending Messages

The compose form is shown at the top of the Messages tab.

Filtering Recipients

Ticket Tiers

Select which ticket holders receive the message:

  • All - Everyone registered for the event
  • Or click specific ticket names to target those holders only

You can select multiple ticket types.

Check-in Status

Filter by attendance:

  • All Attendees - Everyone registered
  • Checked In Only - Only attendees who've checked in
  • Not Checked In Only - Only those who haven't arrived

Recipient Count

The recipient count updates automatically as you change filters, showing how many people will receive your message.

Subject Line

Write a clear, informative subject:

  • "Important: Venue Change for Tomorrow"
  • "Your Event Schedule"
  • "Thank You for Attending!"

Message Body

Write your message using the rich text editor:

  • Format text with bold, italic, lists, etc.
  • Add links
  • Be clear and concise

Sending Options

Send Now

Click Send Message to deliver immediately.

Schedule for Later

  1. Click the schedule button (calendar icon)
  2. Select date and time
  3. Confirm to schedule
  4. Message sends automatically at the scheduled time

Scheduled messages appear in Message History with a "Scheduled" badge.

Message Limits

Each event has a message limit to prevent spam. Your remaining messages are shown below the recipient count:

X of Y messages remaining

When you reach the limit, the send buttons are disabled and a warning is shown.

Message History

Click Message History to expand and view all sent and scheduled messages. Each message shows:

  • Subject - The message subject line
  • Status - Sent, Scheduled, Pending, Sending, or Failed
  • Recipients - Number of people who received the message
  • Date - When the message was sent or is scheduled

Troubleshooting

Message Not Sending

  • Check you haven't reached the message limit
  • Verify recipient count is greater than 0
  • Ensure event has registrations

No Recipients

  • Check your ticket tier and check-in status filters
  • Select "All" for both to message everyone

Automatic Emails

Delvent also sends automatic emails:

System Emails

  • Registration confirmation
  • Payment receipt
  • Ticket delivery

Organiser-Configured

  • Event reminders
  • Post-event thank you
  • Feedback survey (if configured)

These are separate from manual messages.
