Lineups & Speakers
Manage speakers, performers, and special guests for your events.
Overview
The Lineups feature lets you:
- Add speakers and performers
- Display them on your event page
- Assign them to activities
- Send speaker invitations
Accessing Lineups
- Go to Dashboard → Toolkit
- Click Lineups
- Select your event
Or: Event → Manage → Toolkit → Lineups
Adding Lineup Members
Manual Addition
- Click Add Lineup
- Fill in details:
- Name (required) - Full name
- Email (required) - Contact email
- Company - Organisation/affiliation
- Job Title - Position
- Bio - Short biography
- Photo - Profile picture (JPEG, PNG, or WebP, max 5MB)
- Add social links (optional):
- Website
- GitHub
- Click Add Lineup
Via Invitation
Send invitations for speakers to complete their own profiles:
- Click Invite Lineup
- Enter their name and email
- Add personal message (optional)
- Click Send Invitation
- Speaker receives link to complete profile
Invitations expire in 7 days. You can resend if needed.

Required Fields
- Name
Optional Fields
- Company
- Job Title
- Bio
- Photo
- Social links (Twitter, LinkedIn, Website, GitHub)
Lineup Status
Track speaker confirmation:
| Status | Color | Meaning |
|---|---|---|
| Confirmed | Green | Accepted and confirmed |
| Pending | Yellow | Invited, awaiting response |
| Declined | Red | Declined participation |
Status is displayed on each lineup card and in the detail view.
Lineup Invitations
Sending Invitations
- Click Invite Lineup
- Enter name and email address
- Add personal message (optional)
- Click Send Invitation
Invitation Process
- Email Sent - Speaker receives a Speaker Invite email
- Link Clicked - Opens profile completion page
- Profile Completed - Speaker fills details
- Confirmed - Added to lineup
Invitation Expiry
Invitations expire after 7 days. Resend if needed.
Speaker Profile Page
Self-Service Completion
Invited speakers can:
- Upload their photo
- Write their bio
- Add social links
- Confirm participation
Speaker View
Speakers see:
- Event information
- Their activity assignments (if any)
- Profile preview
Displaying Lineups
Event Page
Published lineups appear on event page:
- Speaker photos
- Names and titles
- Bios
- Social links
Lineup Manager
The lineup manager shows:
- Photo avatar
- Name with status badge
- Job title and company
- Search by name, email, company, or job title
Click on a lineup member to view full details including bio and social links.
Assigning to Activities
Lineup members can be assigned to activities in the Schedule Builder:
- Go to Schedule Builder
- Edit an activity
- Add lineup members to the activity

Managing Lineups
Viewing Details
- Click on a lineup member
- View their full profile:
- Photo (with download option)
- Name and status
- Company and job title
- Bio
- Social links
Editing Members
- Click the edit icon (pencil) on a lineup card
- Update details (email cannot be changed)
- Save changes
Removing Members
- Click the delete icon (trash) on a lineup card
- Confirm removal
Removing a lineup member removes them from all activities.
Best Practices
Photos
- Request high-quality headshots
- Consistent style (similar backgrounds)
- Professional appearance
- Square or portrait orientation
Bios
- Keep concise (100-200 words)
- Include relevant experience
- Mention notable achievements
- Professional tone
Communication
- Confirm speakers early
- Send reminder emails
- Share event details
- Provide speaker guidelines
Public vs Private
Public Information
Shown on event page:
- Name
- Photo
- Bio
- Company and job title
- Social links
Private Information
Only visible to organisers:
- Email address
- Invitation status
Integration with CFP
If using Open Call/CFP:
- Accepted proposals create lineup entries
- Speaker info from proposal
- Link proposal to activity

Troubleshooting
Speaker Not Showing
- Check status is Confirmed
- Ensure lineup is published
- Verify event is live
Photo Not Uploading
- Check file size (max 5MB)
- Verify format (JPEG, PNG, or WebP)
- Try different browser
Invitation Not Received
- Verify email address
- Check spam folder
- Resend invitation
